Prepare NOW for the 1099 Filing Deadline!

Don’t wait until the last minute to collect vital information for the 1099 filing deadline. While the deadline for 2025 isn’t until January or February 2026 (depending on the forms you are required to file), it’s important to have all the information now to avoid potentially time-consuming data collection later or even penalties for late or unfiled forms.

Who Should Receive a 1099?

  • This can vary depending on the Form 1099 that you are filing.
  • Commonly filed Form 1099-NEC is required for any vendor or contractor whom you paid $600* or more in proceeds to over the course of the calendar year

*The minimum filing threshold will increase to $2,000 for tax year 2026.

What Information Do I Need?

  • In the interest of best practice, each vendor/contractor you intend to pay – even if you don’t believe they will meet the minimum $600 threshold amount – should complete a Form W-9 prior to you issuing payment to them.
  • The W-9 requests information such as Name, Business Name, EIN/SSN, and Address – all standard information you will need when filing 1099s for your business.
  • Getting completed W-9s ahead of time will assist you when it comes time to file your 1099s – you won’t have to chase anyone down, which may cause late filing.

How Do I File?

  • 1099s can be mailed to the IRS or e-filed through a payroll provider or software such as QuickBooks.
    • If you have 10 or more 1099s, you must file them electronically. This 10 includes Forms W-2 e-filed with the Social Security Administration.

When Are Filings Due?

  • Most 1099s are due to the IRS and the recipients by January 31st, or the next business day if the 31st falls on a Saturday or Sunday (see the first link above for details on when each type of 1099 is due).

Why Should I File?

  • If a business fails to issue a form by the designated deadline, the business could pay penalties varying from $60-$330 per form, depending on how far past the deadline the business is issuing the forms.
